O’Connor Hospital Begins Document Imaging

On October 1, 2007 O’Connor Hospital stepped into the electronic medical record world with document imaging. On that date we began to scan Emergency Room records into the Bassett Electronic Medical Record. It was an exciting step forward. On March 3, 2008 we began with some of our Outpatient clinics and plan to continue until all medical records are involved.

Here is how the process works:

As the paper records (hard copies) come into the Medical Records Department, they are sorted and prepared for scanning. They are then fed into the scanner, which basically takes a picture of each document and puts it into the computer. They are checked carefully to make sure they are accurately scanned.

Another worker then “indexes” the documents. This step assigns each document to the proper patient, visit date and type within the electronic record. This is very carefully checked before releasing into the electronic record.

The records can be retrieved by providers and other staff by Medical Record number, demographic information, visit number or document type. They can be viewed on the computer or printed.

Benefits:

The Bassett Electronic Medical Record is system-wide. Providers from anywhere within the Bassett system are able to view these records on their computers immediately, thus improving patient care. As we progress with this, eventually all records will be available to Bassett providers.
